After 10 years of working for MEV and previously the Commonwealth Games, the time has come for Mark and Chris to move on. As of Thursday 3rd March (Mark) and Friday 4th March (Chris) we will both be leaving the employment of Manchester City Council.

These past 10 years have been a wonderful experience for both of us, we have learnt so much and been given the opportunity to work with many fantastic people from all walks of life. We will greatly miss being part of such a talented, committed and fun team, as well as our every day communications with our many lovely and dedicated volunteers.

We do hope that the work we have done for MEV has been of use to you, our volunteers. We both feel very proud to have been able to support so many of you into various training courses and employment, as well as countless volunteering opportunities.

Please be assured that this does not mean the end of MEV, as Kristian Dodsworth, the current Project Officer will continue in his role, providing quality opportunities and support for the hundreds of volunteers on our database.

Kristian will be responsible for the day to day volunteering operations, so from today all enquiries should be sent to kd@mev.org.uk / k.dodsworth@manchester.gov.uk or via calling 0161 234 1532.

Since the central team will reduce by two thirds, MEV will have a reduced capacity. We would therefore ask that you please be patient during this period of transition. For those of you who have Internet access, it would help Kristian greatly if you could use the website as a means of adding interest in events and, most importantly, recording your hours.

Dear Volunteers

How would you like your own unique Manchester Event Volunteers e-mail address? We have had found that occasionally our e-mails are directed to your spam or junk inbox we have decided that it may be useful for us to communicate differently.

You can still keep your existing e-mail account (e.g. hotmail, aol, tiscali, btbroadband etc) but you could set up a unique MEV account for all your volunteering activity. This would allow the team to ensure that you receive all your mails from us and you have and you could interact with event organisers safe in the knowledge that they will know that the e-mail is from a unique MEV volunteer!!!

If you do not have access to a computer or know of friends and family who do, why not set an e-mail address for yourself so you can keep up to date with last minute opportunities.

Ideally we would like you to set up an e-mail address with your full name as opposed to nicknames e.g. you could have your.name@volunteersdoitbetter.org.uk.

We are planning another Reward and Recognition event in early 2011 following our successful volunteer celebration in March where MEV volunteers attended Manchester Town Hall to receive their certificates and badges


The Volunteer Reward and Recognition Programme was developed in October 2006 to reward volunteers for the invaluable time they give to MEV and Host Organisations. You can, of course, choose whether or not to take part but should you wish to, you can record the number of hours you spend helping out at events and other opportunities. Once you have reached certain milestones you will be rewarded accordingly with various items such as certificates, pin badges and more!

We can only accredit events which have been advertised in the MEV newsletter or website. 

1 To receive your first certificate and pin badge, you must have recorded a minimum of 50 hours volunteering...............all you have to do is complete your Event Record forms and send it to us as soon as possible.

2 If you HAVEN'T started logging your hours you can start now by inputting your hours on your profile, downloading the form from the MEV website at www.mev.org.uk/content/documents/ or by contacting Kristian on 0161 234 1532 / kd@mev.org.uk who can post or e-mail copies to you.

The change of policy is in relation to a communications issue and particularly to ensure that everyone, regardless of whether they have e-mail access, receive communication from event organisers.

From September 2010 MEV only provides host organisations with your postal address details and therefore, no telephone numbers or e-mail addresses will be provided.  In future, host organisations will need to plan the recruitment of volunteers well in advance, so information can be distributed in time for the opportunity.  The host organisation will be responsible for contacting you once you have registered an interest to confirm details of the opportunity and any specific information relating to your role.

MEV will promote events via its website, newsletter, weekly organisers update and also direct mailings where appropriate and in all cases the central team will have an initial meeting with the host organisation in order to clarify details regarding the opportunity.

From this point onwards, it will be the host organisation's responsibility to:
Contact Volunteers as soon as possible before their event
Prepare a work specification for volunteers detailing activities to be undertaken
Highlight hours / shift patterns / rosters as appropriate
Prepare management and supervision arrangements for volunteers
Look at any specific requirements (dietary, role modifications for people with limited mobility etc)
Undertake any necessary health and safety checks/risk assessments

It is volunteers responsibility to:
Show interest in events/opportunities via the MEV team (either by post, e-mail or phone)
Ensure you inform the MEV team in advance if you have not had any communication from the host organisation
Confirm your attendance with the Event Organiser or inform the MEV team if you cannot attend an event
Attend your allocated shifts.
Adhere to the MEV Volunteer Code of Conduct

Please note that any data that are passed on from the MEV Team are done so with you're a greement.  Organisations can only use this information in connection with the specific event for which you have expressed an interest and should not pass data on to third parties, nor should they be used for the purposes of direct recruitment to other events with which host
organisations might be involved (including the same event in following months or years).

Organisations receiving information about you from MEV must ensure that they comply with the Data Protection Act 1998.

One of our regular volunteers has suggested creating MEV discussion groups where people can get together to talk about how they are getting on with volunteering, how the MEV service could be improved or just to exchange ideas? It would also be a great way for new and existing volunteers to get to know more people and could perhaps develop into other areas (e.g. a social network).

This could be a monthly, bi monthly or quarterly meeting, led by volunteers for volunteers. The MEV team can be involved in all or some of the meetings but this would be the decision for the volunteer group to make.

Any recommendations could be fed back to the MEV team for implementation to make the service better.

GETTING INVOLVED WITH EVENTS:
If you are experiencing difficulty with organisers not contacting you before an event, please contact the Central Team before the event starts on 0161 234 1532 and we can find out what's happening for you.  The lack of contact may just be an oversight on the organisers behalf and can usually be rectified by the MEV team.

REGISTERING YOUR INTEREST IN EVENTS:
Not only can you sign up for event online but you can do it by post. However, the cheapest and quickest is to register your interest by phone, just call us on 0161 234 1532 and we can add your interest on the database immediately! 

CHANGE OF PERSONAL DETAILS:
If you have recently changed address, e-mail or phone number please let us know and we can update your details on our central database.  This will ensure that you can be contacted easily when you register for an activity or event.

We have received a number of queries in recent months from volunteers who have not been contacted by event organisers. One of the main concerns volunteers have raised is that organisers are only contacting those volunteers with e-mail addresses. Therefore, we have decided to no longer provide e-mail addresses on the contact lists we send to event organisers. Hopefully, this should help alleviate some of the issues you have been having as this will mean event organisers will have to send all details by post.

However, please be aware this will not guarantee a response all of the time, so if you are experiencing problems with event organisers please contact the MEV Team on 0161 234 1532.

GiveGetGo! is Manchester's volunteering campaign for people aged 16-25. Come down to the GiveGetGo! events and find out more about volunteering:
Triple G event, NOISELAB 11-5pm, where visitors will be able to try their hand at knitting, making smoothies, belly dancing, card making, lantern making, animation, eco fashion creation and much more as well as finding information about volunteering and emotional wellbeing via information stalls and art installations - as part of the event we will displaying art created by young people from the City Centre Project and the Foyer as part of the GiveGetGo! campaign.

GiveGetGo! Piccadilly Garden, 4.30-8pm. The event will open with a lantern march, illuminating a 'Give' sculpture, which will be followed by live acts by Kayne, The News, Karmic Evolution, OK Deadman and Zion Arts.

So please come and join in at the free events, and help raise awareness of the benefits of volunteering for young people's emotional well-being.

At the halfway point in the six week application window for the London 2012 volunteering programme, over 100,000 people have applied to be a Games Maker volunteer.

Applications have been received from right across the UK and from all communities, including thousands from disabled people.

Research into applications has revealed that 52% of all applicants to date have said that London 2012 has inspired them to volunteer for the first time.

Applications will be open until midnight on the 27th October 2010, so there are three weeks left to apply.

The London Organising Committee of the Olympic Games and Paralympic Games (LOCOG) is looking for up to 70,000 passionate and dedicated volunteers for the London 2012 Games. They will make the difference between a good and a great Games for thousands of athletes, media and spectators alike.

Sebastian Coe, Chair of the London 2012 Organising Committee said: ‘We are thrilled with the response we've had so far from people and would like to thank everyone who has already filled in their application form and pledged to lend their time to the greatest show on earth.

‘The London 2012 Games simply could not happen without volunteers. Whenever I have spoken to previous volunteers, they've all said what a fantastic experience it was. So don't miss out on this opportunity of a lifetime. You've got three weeks left to fill-in your application form - don't miss the deadline of October 27.'

My name is Lorraine Cox and I am a postgraduate student, studying MSc Events Management at Manchester Metropolitan University.

We have developed a programme to reward volunteers for the invaluable time that they give to MEV and Host Organisations.

You can choose whether or not to take part but should you wish to, you will be asked to record the number of hours you spend helping out at events and other opportunities.

One of our regular volunteers has suggested creating MEV discussion groups where people can get together to talk about how they are getting on with volunteering, how the MEV service could be improved or just to exchange ideas? It would also be a great way for new and existing volunteers to get to know more people and could perhaps develop into other areas (e.g. a social network).

This could be a monthly, bi monthly or quarterly meeting, led by volunteers for volunteers. The MEV team can be involved in all or some of the meetings but this would be the decision for the volunteer group to make.

Any recommendations could be fed back to the MEV team for implementation to make the service better.

This will help the MEV team understand some of the problems at events and send more comprehensive feedback to event organisers, so the organisation of future events are improved.

We have received a number of complaints in recent months from volunteers, who have not been contacted by event organisers.

One of the main concerns volunteers have raised is that organisers are only contacting those volunteers with e-mail addresses. Therefore, we have decided to omit the e-mail addresses on the contact lists we send to event organisers.

Hopefully, this should help alleviate some of the problems as event organisers will have to send all details by post.

We are in the final stages of building our brand new website. The new Manchester Event Volunteers site will look much better, be easier to use, more interactive and hopefully be used as a community hub by volunteers.   Thanks to those volunteers who have already sent us their feedback.  It's been really helpful!

One of our regular volunteers has suggested creating MEV discussion groups where people can get together to talk about how they are getting on with volunteering, how the MEV service could be improved or just to exchange ideas?  It would also be a great way for new and existing volunteers to get to know more people and could perhaps develop into other areas (e.g. a social network).

This could be a monthly, bi monthly or quarterly meeting, led by volunteers for volunteers.  The MEV team can be involved in all or some of the meetings but this would be the decision for the volunteer group to make. 

Any recommendations could be fed back to the MEV team for implementation to make the service better.

CONTACTING VOLUNTEERS FOR EVENTS WHICH ARE NOT ADVERTISED VIA THE MEV NEWSLETTER / WEBSITE

Finally, we would like to raise the issue of volunteers being contacted by you directly for events which have not been advertised in our monthly newsletter. Our initial Code of Practice for Host Organisations which states that you should only contact those volunteers once who sign up for your one off events. (Different rules apply for long term opportunities). Unless your opportunity is advertised in our newsletter, volunteers cannot claim the hours they give you on their record of achievement, nor can we or they be assured that your environment is safe and secure. Bypassing the MEV team and contacting volunteers directly, denies a number of privileges. The recruitment process we currently have is the best for us, the volunteers and, ultimately, for you as we have made it as simple as possible. If you require volunteers at any time, please contact the team directly and we will be more than happy to advertise your opportunities and events.

We do hope you understand that the reasons for these changes. MEV wants to improve conditions for its volunteers. We need to ensure that all volunteers are treated equally regardless of their financial/employment status and that they are aware of their entitlement to minimum of out of pocket travel expenses. Volunteers give up their free time to help you and we need to recognise their contribution and this is where you can really make a difference.

One of the outcomes of the recent University Research has been that volunteers would like to have more emphasis on "Volunteering Pride" as part of your newsletters and website.

Since we know that a lot of you enjoy being involved with MEV, we would like to ask if you'd like to write a little a bit about your experiences as a volunteer. Some of the things you could write about include:

1 Are you proud to be an MEV volunteer, why? Why do you give up your time for free?
2 What have you discovered about yourself since becoming involved with MEV. Has it given you new found independence, allowed you to meet new people, helped you through hard times or been the reason why you found a job?
3 Are you proud of the city of Manchester and it's events programme, particularly how it has changed over the past 8-10 years?
4 What do you think Manchester gets out of you giving your time for free to events and local communities. Do you think we as a group of volunteers make a difference. How? Why?

However, don't limit yourself to these topics!!!! You can tell us about anything you want in relation to your volunteering experiences. Go on............tell us your inspirational stories and inspire your colleagues or new people who are thinking of taking part!

It is with great sadness that we announce the passing of Rita Fisher and John Mockler MBE.

Rita, with her daughter Susan, were members of MEV since the Commonwealth Games and was well known to everybody with her great sense of humour. Rita worked on many events during her 8 years with MEV and completed more than 500 hours of volunteering. Rita was also involved in many other health groups, local community groups and was always the centre of any party, but she never gave up working all her life.

John was one of MEV's original volunteers and his love for sport led him all over the world. His involvement and dedication to volunteering with the XVII Commonwealth Games in Manchester in 2002, led to an MBE in 2003 for his unbridled commitment .

John was a regular face at Manchester's sporting events and a friend to many of you. I am sure that you will join the MEV team in passing on our condolences to his family and friends.
